Send drawings for a proposalView completed Berkeley workA multifamily millwork estimate is only as dependable as its quantity and specification record. For a San Jose development, a unit count alone does not explain the mix of cabinet packages, mirrored conditions, common areas or release phases. Organize those differences before treating competing totals as equivalent bids.
Build the unit-type matrix
Assign a stable identifier to each package type and connect it to the relevant plan, elevations and specification revision. List quantities by building, floor or release phase as appropriate. Identify mirrored versions and modified units separately where their components or coordination requirements differ.
Reconcile the matrix against the current project schedule of units. A plan revision that changes the type mix should produce an explicit quantity revision, not an informal note attached to the old total. Keep responsibility for that reconciliation clear.
Separate repeated work from exceptions
Describe the standard construction, finish, hardware and exposed surfaces for each package. List owner options, project alternates and special conditions as controlled variations. Do not assume that an exception shown in one unit is included across every unit of that type.
Common-area cabinetry and paneling should have their own assembly schedule. They may differ from unit packages in materials, detailing, review requirements and delivery sequence; burying them in an average per-unit number makes omissions harder to see.
Price the production and delivery scope
Ask whether the proposal includes shop drawings, samples, first-of-type review if required, labeling, packaging, delivery and unloading. Define how deliveries are grouped and who receives them. Identify any storage assumptions and the process for revising the sequence when areas are not ready.
Clarify installation separately. Work requiring a contractor's license is performed under a separate agreement by appropriately licensed independent contractors. The manufacturing package should state which site activities it does and does not cover.
Make allowances and substitutions traceable
For an unresolved selection, state the allowance basis and the method for adjusting it. For an alternate, identify the affected package types and quantities. A substitution needs review of performance, appearance and interface requirements, not just a comparison of purchase prices.
After acceptance, maintain a release register showing quantities authorized, delivered and outstanding. Price changes against the approved baseline and identify both additions and deletions. This helps prevent a revised unit mix from being billed as extra work without recognizing removed scope.
No universal per-unit price replaces a review of the actual drawings and quantities. Send the unit-type matrix, common-area schedule and desired phasing for assessment: millwork-usa.com/request-project-review
