Architectural millwork coordination works best when the designer, contractor and manufacturer use the same approved information. For a Morgan Hill project, define who controls appearance, who confirms site conditions and who authorizes fabrication. These responsibilities may belong to different people.

Assign approval responsibility before reviewing drawings

Create a short responsibility list for design intent, field dimensions, material and finish samples, adjacent-trade interfaces and production release. The interior designer's approval of proportions should not be mistaken for confirmation of a concealed plumbing condition. Likewise, a contractor's dimension check does not settle the client's finish selection.

Name the person authorized to consolidate comments. If the owner, designer and contractor send separate instructions, reconcile them into a single drawing revision before releasing affected work. Keep unresolved issues visible rather than relying on an informal understanding.

Establish which documents govern the work

Identify the current architectural drawings, interior elevations, specifications, appliance information and approved shop drawings. Record their dates and revisions. When documents disagree, ask for a written resolution instead of choosing whichever dimension is easiest to fabricate.

A useful review comment identifies the room, assembly and drawing detail. State whether the comment corrects a discrepancy or requests a design change. A new request for deeper storage, different hardware or another panel joint may affect scope and timing even if it occupies only one line in a markup.

Review interfaces through sections and details

An elevation shows composition but may not explain depth, access or support. Use sections where the cabinetry meets stone, where a panel conceals equipment, or where a door operates near a wall or appliance. Confirm how removable access panels are opened and what can be reached behind them.

Check appliance clearances against the selected model's requirements. Coordinate electrical outlets and lighting components with the relevant trades. Identify the responsible party for ventilation, supports and other performance requirements; do not assume that a reference photograph resolves them.

Connect the finish schedule to the sample

Assign a finish identifier to the approved sample and use that identifier on the room schedule and drawings. Separate species or surface material, color, sheen, grain direction and edge treatment. Record whether a finish applies to exposed faces only or to interior surfaces as well.

When several rooms share a finish, identify the intended visual relationship. A large veneer composition may require review of grain sequencing or panel layout beyond a small sample. Natural variation and any proposed substitution should be discussed before fabrication, not judged for the first time after delivery.

Use a decision register for unresolved items

For each open decision, record the assembly, information required, responsible person and date needed for the proposed release. Examples include the final appliance model, countertop thickness, revised ceiling height or approval of a finish sample.

Separate items that prevent fabrication from items that can be finalized later without affecting construction. The manufacturer should confirm that distinction for the actual scope. A partially complete room should not be labeled fully approved merely because most comments are closed.

Control revisions after approval

Issue changes against the approved drawing revision and identify the cost and timing effects before proceeding. Confirm whether affected fabrication must stop. Remove superseded drawings from the active work package while retaining their history.

For a phased project, list the assemblies that remain authorized and those placed on hold. Changes to one room should not automatically stop unrelated work, but shared materials, grain sequencing and continuous panel layouts may connect portions that appear separate.

Confirm the handoff to site

The delivery and installation teams need the same room identifiers and approved revisions as the shop. Establish who receives the work, checks the site conditions and records missing or damaged items. Define the process for reporting a field discrepancy before modifying an assembly.

Millwork USA LLC provides design-development, manufacturing, supply, delivery coordination and related project services. Installation services requiring a contractor's license are performed under separate agreement by appropriately licensed independent contractors. Agree those responsibilities for the project before installation is scheduled.

Our manufacturing base is in Morgan Hill, California; visits are by arrangement. Send the current drawings, room list, finish references and unresolved questions for a focused review. Manufacturing locally does not remove the need for reliable dimensions or guarantee material availability.
